1. Contract and User Terms
Institutional use of Extended Essay Dashboard is governed primarily by the subscribing school’s applicable order, SaaS agreement and Data Processing Agreement with Cross Sword Limited. These public terms also describe acceptable use of the Service by authorised school administrators, coordinators, supervisors and students. Student use under a school account does not by itself replace or expand the institutional agreement between the school and Cross Sword Limited.
2. Service Description
Extended Essay Dashboard provides a web-based platform for managing the International Baccalaureate Extended Essay process. The Service includes milestone tracking, research tools, reflection spaces, supervisor workflows and coordinator dashboards. The Service is designed to support — not replace — the guidance and professional judgement provided by schools or the authoritative requirements published by the International Baccalaureate Organization.
3. User Accounts
Users must be invited by their school administrator or EE Coordinator. Users are responsible for maintaining the confidentiality of their account credentials. Users must provide accurate information and update it as necessary.
4. School Responsibility
Schools are responsible for: managing their user accounts, ensuring appropriate supervision of students, complying with IB requirements independently of the platform, maintaining their own data protection policies, and determining data retention periods.
5. Acceptable Use
Users must not: share account credentials, attempt to access data from other schools, upload malicious content, use the platform to plagiarise or violate academic integrity, circumvent security measures, or use the platform for purposes other than Extended Essay management.
6. Intellectual Property
The platform, its design, code and supplier-created content are owned by Cross Sword Limited trading as LearnStudio / Extended Essay Dashboard or its licensors. Students and schools retain their applicable rights in student work and other user-generated content. We do not claim ownership of user-generated educational content merely because it is processed through the Service.
7. School Data
Schools and users retain their applicable rights in data entered into the platform. For school-controlled educational personal data, we normally act as processor on the school’s instructions as described in our Privacy Policy and DPA. Schools can request export or deletion subject to applicable law, agreed retention requirements, technical constraints and the school’s controller responsibilities.
8. Academic Integrity
The platform includes tools to support academic integrity but does not guarantee it. Schools and supervisors remain responsible for verifying the authenticity of student work. AI features, where available, are designed to scaffold thinking and must not be used to generate assessed content.
9. Service Limitations
The Service supports school administration and supervision but does not guarantee academic outcomes, IB assessment results, uninterrupted availability or error-free AI output. Institutional liability, warranties and any negotiated service commitments are governed by the applicable school order, SaaS agreement and mandatory law rather than by marketing statements.
10. Termination and Suspension
Subscription cancellation and termination rights follow the school’s applicable order or subscription terms. Before an authorised school offboarding/deletion is completed, the school can request an available export and provide controller instructions for retention or deletion. We may suspend accounts or features where reasonably necessary for security, unlawful use, material breach or protection of other users, subject to the applicable agreement and law.
11. Changes to Terms
We may update these public terms from time to time. Material contractual changes affecting a subscribing school are handled under the notice/change provisions of the applicable institutional agreement; public website wording does not override negotiated school terms.
